Privacy notice.

01Who we are

VaneXson Business Solutions ("VaneXson", "we", "us") is a business solutions and transformation company with its head office in Kolhapur, Maharashtra. We also operate from our overseas office at Ridge, Accra, Ghana.

We decide how and why the personal data described in this notice is used, which makes us the data controller (in Ghana's law, the "data controller"; in India's law, the "data fiduciary") for it.

02What this notice covers

This notice covers personal data we receive through vanexson.com and through the contact routes listed on it: the enquiry form, email and WhatsApp. It does not cover data we process for clients under a signed engagement. That work is governed by the agreement for the engagement and by the client's own privacy notice.

Our partner organisations, SIIMT University College and IndoSoftwares Solutions Ltd, have their own websites and their own privacy notices.

03What we collect

We collect only what we need to answer you and to keep the site working safely.

We do not ask for, and ask you not to send, sensitive personal data such as health details, financial account numbers or identity documents through the website. If your enquiry needs that kind of information, we will agree a secure way to share it first.

04How we use it

• To reply to your enquiry, ask follow-up questions and, where you want it, propose a pilot scope.
• To arrange and hold a consultation with you.
• To keep a record of what was discussed if the conversation leads to an engagement.
• To protect the website and our mailboxes from spam, abuse and attacks.
• To meet legal obligations, for example keeping business correspondence for accounting or tax purposes.

We do not sell personal data. We do not use it for automated decision-making or profiling. We do not add you to a newsletter or marketing list because you enquired. If we ever start a newsletter, joining it will be a separate, clear choice.

05Our legal basis

Two laws are most relevant to us: Ghana's Data Protection Act, 2012 (Act 843) and India's Digital Personal Data Protection Act, 2023. Under both, we rely on:

• Your consent, given when you tick the box on the enquiry form or when you choose to write to us. You can withdraw it at any time (see section 8).
• Our legitimate business interest in replying to people who contact us, keeping the website secure, and keeping proper business records, where that interest does not override your rights.
• Legal obligations, where a law requires us to keep or disclose a record.

06Who we share it with

We share personal data only where it is needed to answer you or to run the website. We never share it for someone else's marketing.

The live figures in the site header are either computed in your browser from published global rates, or fetched by our own server from the public Hugging Face Hub API and cached for a few minutes. Your browser does not contact that service and no data about you is sent to it.

We may also disclose personal data if a court, regulator or law requires it, or to protect our legal rights.

International transfers. We are based in India and operate in Ghana, so data moves between the two countries as part of our normal work. Our service providers may store data in other countries, including the United States and the European Union. Where we rely on a provider, we choose one with published security and privacy commitments.

07How long we keep it

• Enquiries that do not lead to an engagement: up to 24 months after our last exchange, so we can pick the conversation up if you come back. Then we delete them.
• Enquiries that lead to an engagement: for the life of the engagement and for as long afterwards as the law requires us to keep business records.
• Spam and abuse records (IP addresses, blocked submissions): up to 12 months.
• Hosting logs: set by our hosting provider, typically a few weeks.

You can ask us to delete your enquiry earlier at any time (see section 8).

08Your rights

Depending on where you live, you have some or all of these rights:

• To access the personal data we hold about you and receive a copy.
• To correct data that is wrong or incomplete.
• To have your data deleted, unless we must keep it by law.
• To withdraw consent at any time. This does not affect anything done before you withdrew it.
• To object to or ask us to restrict a particular use.
• To complain to a supervisory authority: in Ghana, the Data Protection Commission; in India, the Data Protection Board of India.

To use any of these rights, email info@vanexson.com. We may ask you to confirm your identity so we do not release your data to someone else. We aim to respond within 30 days.

09Cookies and tracking

We do not set cookies and we do not run analytics or advertising trackers on vanexson.com. The site remembers nothing about you between visits.

The third-party resources named in section 6 (Google Fonts and the GSAP library on Cloudflare's cdnjs) are loaded directly by your browser. They receive the technical details that any web request carries, such as your IP address, but we have not seen them set cookies for this site. If we ever add analytics, we will update this notice first and, where the law requires it, ask for your consent.

10Security

• The website is served over HTTPS, so what you type into the form is encrypted on its way to us.
• Form submissions are delivered to a mailbox on our own domain, over an encrypted connection, and are not stored in a public database.
• Access to that mailbox is limited to the founder and to people who need it to reply to you.
• Our form filters spam automatically and rejects submissions that do not come from our own website.

No system is perfectly secure. If we learn of a breach that affects your data, we will tell you and the relevant authority as the law requires.

11Children

Our services are for organisations and the people who run them. The website is not aimed at anyone under 18, and we do not knowingly collect their data. If you believe a child has sent us personal data, email us and we will delete it.

12Changes to this notice

We will update this notice when our practices or the law change. The effective date and version number at the top of the page tell you which version you are reading. Material changes will be flagged on this page for a reasonable period.
